Nextern is seeking an HR Training & Admin Supervisor for its Binh Duong, Vietnam location. This role supports the HR & Admin Manager in various HR functions, including training and development, administrative operations, employee relations, and system management. The ideal candidate will have at least 5 years of HR experience, including 2 years in Training & Development, and be proficient in MS Office applications. Strong communication and problem-solving skills are essential, along with fluency in English.

Training & Admin Supervisor is a member of HR & Admin Department and this role assists HR & Admin. Manager in HR & Admin functions to achieve company business goals. This position is responsible for performing the various HR & Admin activities and programs relating to personnel human resource development, administration, and organizational development to ensure Company’s personnel and administration goals and objectives are accomplished in the most efficient manner that support the overall business goals.
Job Description:
Key Responsibilities:
1. Training & Development
- Manage New staff orientation training to ensure the HR policies are clearly explained.
- Ensure yearly training need assessment for all departments is done according to the training process, consolidating the results in training plan and training budget is approved.
- Ensure to prepare and coordinate external training, both local and overseas with the consent of General Director and Head of Departments.
- Ensure the yearly training plan is implemented accordingly.
- Work with Head of Departments to make a career road map for employees
- Maintain alignment of development training with company policy
2. Administration
- Supervise service delivery and the day-to-day operations of administrative transactional processes including staff and non-staff human resources servicing, stationery, receptionist, locker and uniform management and administration.
- Control the office cleaning to ensure it’s always in a good situation.
- Manage Meals provided to employees and control the hygiene of meals and drink to ensure the employee’s health and safety.
- Manage the transportation and taxi to ensure its service is well and under budget.
- Handling and support the administration tasks related to visitors, Expats and Employees such as: visa, hotel, work permit, air-ticket, etc.
- Supervise HR service providers, such as background check companies and benefits providers, payments, ensuring smooth service delivery and addressing issues.
3. Employment relationship (ER)
- Respond all company events and staff welfare activities to promote professional & good working environment for employees such as team building, new year party, company trip celebrations as well as Gifts on special occasions,
- Managed relationships and communications with various government bodies, such as labor department, immigration for expat visas, etc.
4. HR Paradise System:
- Manage Employee’s working status timely.
- Close the attendance tracking monthly accurately and timely.
5. Others
- Carry out other duties as and when assigned by the Managers.
Knowledge, And Skills
1. Problem Solving - The ability to identify problems and develop and implement solutions to the issues.
2. Communication Skills - The ability to effectively communicate ideas, arguments, solutions and work through conflict resolution at all levels of organizations both internally and externally.
3. Negotiation - The ability to plan for, implement and communicate the "elements of negotiations" that create value for Nextern, while maintaining supplier relationships.
4. Ethics - Consistently uses good judgment when analyzing right and wrong and performs at a level of conduct that is with in corporate ethics guidelines.
Qualification:
1. Graduated University in Human Resource Management, Law, Business Studies or equivalent.
2. At least 05 years of experience in HR, in which 2 years of Training & Development.
3. Demonstrated ability to design and implement suitable policies to support organizational needs and business goals.
4. Proficient in Excel, Word, and MS Office/PC applications.
5. Fluently verbal and written communication skills in English Language.
