This position is on-site in our San Francisco office 5-days per week.
The Position
We are seeking an Administrative Assistant to provide administrative assistance to our Office Administrator within a fast-paced law firm environment.
Key Responsibilities:
- Provide administrative support to the Office Administrator and assist with daily office operations.
- Manage calendars, prepare correspondence, reports, presentations, and other business documents.
- Draft, prepare, and distribute meeting agendas and related materials.
- Assist with employee communications and reminders.
- Assist with basic financial and administrative processes, vendor invoices, expense reports, and other administrative paperwork.
- Assist with the preparation of onboarding documentation for new employees.
- Assist with scheduling and coordination of new attorneys’ photo sessions and coordination.
- Assist with coordination of Coordinate meetings, conferences, and training sessions office events, including scheduling and room reservations.
- Help organize firm office events, training sessions, and employee engagement activities.
- Assist with file inventory and comply with file storage processes.
- Serve as backup support for other general administrative duties and provide cross-functional support as needed.
Qualifications
- Must have a high school diploma
- Strong computer and keyboarding skills with proficiency in MS Office Suite and document management systems
- Attention to detail and organizational skills are critical
- Clear and effective communication skills, both orally and in writing
- Must be able to multitask and successfully manage a variety of demands daily
- Must be able to work independently and be proactive
- Good problem-solving, planning, confidentiality, and time management skills are important
- Ability to work well in a team environment
