Your New Role...

We're looking for a highly organised and customer-focused individual to join our team at our Soho Square facility. As the first point of contact for clients, guests and staff, you'll play a vital role in delivering a first-class front-of-house experience while helping to coordinate screenings, events and bookings. You'll also take ownership of media dispatch operations, ensuring all inbound and outbound materials are accurately tracked and handled with care. Your Role Accountabilities...

  • Answering, screening and transferring all calls to the relevant person or department from a busy switchboard.
  • Access control management through the use of the CCure system as well as physical key management, including tracking the issuing and return of keys and cards and maintaining stock levels of passes, lanyards and card printing supplies.
  • Meeting, greeting and directing clients, contractors and visitors correctly by following the security policies of the facility with a welcoming and professional manner.
  • Managing all inbound and outbound deliveries via Reception and the loading bay, maintaining accurate records and following the correct procedures relating to the security and notification of deliveries
  • Booking passenger cars and couriers, maintaining accurate records of these bookings, and passing on accurate billing information.
  • Ensuring that the correct and complete handover of information is consistently maintained among front desk personnel, including Security and Runners.
  • Updating all reception lists, i.e. cutting room occupants and their correct extensions, current productions in the studios, staff phone numbers,
  • Assisting in the planning and execution of events including occasional evening attendance.

Qualifications & Experiences...

  • Excellent communication skills and interpersonal skills with the ability to create an immediate rapport with a range of contacts.
  • Sensitive to differing clients' needs and priorities with the ability to question and assist diplomatically.
  • Computer literate. In particular, very good working knowledge of Microsoft Office (Word, Excel and Outlook).
  • Previous experience of managing a switchboard and security passes.
  • Good general knowledge of production, post-production or screening room facilities desirable.
Onsite Working - This role is advertised as Onsite, meaning all working hours and days (regardless of shift pattern) will be carried out at the place of work. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement, where this is essential to business needs and upon reasonable notice to you.
