The People Operations Specialist provides operational support for payroll, benefits, and human resources functions by coordinating employee onboarding, benefits administration, payroll support, policy and job description management, compliance, and HR records administration. This position maintains accurate employee data, supports audits and reporting, ensures regulatory compliance, and delivers exceptional internal customer service while safeguarding confidential information and supporting key HR initiatives.
- Partner with and support the Director of Payroll & Benefits on day-to-day People Operations initiatives.
- Assist with HR, payroll, and benefits audits while helping maintain accurate and compliant records.
- Coordinate the job description process, including creating new job descriptions, managing updates, and facilitating required two-year reviews.
- Update and maintain organizational charts to reflect our evolving teams and structure.
- Review and validate employee time records to help ensure payroll accuracy.
- Support internal and external audit requests by gathering and providing required documentation.
- Reconcile monthly benefit invoices and work with vendors to resolve billing discrepancies.
- Serve as backup support for payroll processing.
- Present Benefits and ADP information during New Employee Orientation to help new team members get off to a great start.
- Enter new hire information into ADP and manage E-Verify and I-9 documentation.
- Maintain the highest level of confidentiality when handling payroll, benefits, and employee information.
- Serve as backup support for Birthday & Anniversary announcements and the Employee Spotlights program.
- Ensure every employee has a current, signed job description maintained in their personnel file.
- File new hire documentation and maintain HR files in accordance with record retention requirements.
- Coordinate the policy management process, including creating new policies, managing updates, and facilitating required two-year policy reviews.
- Scan and upload employee training certifications to maintain accurate training records.
- Maintain employer and employee data within Lattice.
- Prepare employee merit increase and bonus letters in partnership with HR leadership.
- Respond to requests for employee records, including payroll, timesheets, medical files, and training documentation, while ensuring appropriate confidentiality and compliance.
- Serve as backup support for new hire onboarding by assisting with offer letters, monitoring background checks, drug screens, post-offer employment physicals, and new hire paperwork.
- Stay current on Thorne Research's policies, procedures, and People Operations best practices.
- Foster a welcoming, approachable, and service-oriented experience for employees while maintaining professionalism and discretion at all times.
- Bachelor’s degree, preferably in business or human resources is required.
- A minimum of four years of working experience in human resources.
- Strong Microsoft office skills (i.e.: Word, Excel, PowerPoint, Outlook)
- 4+ years’ experience generating formulas, pivot tables, and charts in Excel required.
