Role Summary
We're looking for an HR Operations & Compliance Specialist to own the accuracy and compliance of our internal HR administration with particular focus on data integrity, and documentation. This role works closely with Finance on payroll inputs and with Talent Acquisition on onboarding logistics, but owns compliance outcomes independently. We need someone who identifies and fixes problems before being asked not someone who waits for instructions
Key Responsibilities
HR Operations & Employee Records
- Maintain accurate employee records, HR databases, and personnel files.
- Ensure employee information is complete, updated, and properly documented.
- Manage HR documentation, including employment agreements, contract amendments, employee letters, and other personnel documents.
- Regularly review HR data to identify missing information, inconsistencies, or documentation gaps.
Employee Lifecycle Management
- Coordinate employee onboarding and offboarding processes.
- Prepare required documentation for new hires, employee changes, and resignations.
- Ensure employee status changes, contract updates, and other HR processes are properly recorded and completed.
- Maintain clear documentation throughout the employee lifecycle.
Payroll Coordination
- Prepare and verify employee information required for monthly payroll processing.
- Coordinate employee data updates with the Finance team.
- Ensure changes related to salary, allowances, deductions, attendance, and employee status are accurately communicated.
- Investigate and resolve discrepancies between HR records and payroll data.
Employee Relations Support
- Support day-to-day employee inquiries and HR requests.
- Assist with employee relations processes, including warning letters, performance documentation, and investigations.
- Maintain proper documentation and records for employee-related matters.
Recruitment & Onboarding Support
- Support Talent Acquisition activities through interview scheduling, candidate documentation, and onboarding preparation.
- Coordinate handover of new hires from recruitment into employment.
- Maintain accurate recruitment and onboarding records.
