About the role 

 As a Level 2 Vatting Administrator, you will be responsible for carrying out administrative tasks, ensuring the accurate documentation, ordering, and compliance processes within the department.  This role involves maintaining HMRC compliance, accurate record keeping, managing inventory, liaising with suppliers, and supporting continuous improvement initiatives.

What you will do

  • Regulatory Compliance – Maintain and record documentation and ensure all vatting records meet HMRC and excise duty regulations.
  • Document & Record Keeping – Maintain accurate records of spirit transfers, blending, and stock movements.
  • System Management – Use digital tools such as Spirit Management Systems (SMP), EMCS (Excise Movement and Control System), E1 Q-Pulse, and other data entry platforms.
  • Inventory Control – Track stock levels of raw materials, including spirit batches, caramel, and filter sheets.
  • Purchase Orders & Supplier Liaison – Order consumables and liaise with suppliers to co-ordinate deliveries.
  • Time & Attendance Tracking – Process time and attendance transactions using My Options and Workday, including coordinating overtime, holidays and absences.
  • Reporting – Provide performance data and reports to department management.
  • Continuous Improvement (CI) – actively participate in Continuous Improvement (CI) initiatives, including A3 projects.
  • Communication & Co-ordination – Work closely with production teams, quality control, and logistics to ensure smooth vatting operations.

Your skills and background  

  • Strong administrative and organisational skills.
  • Experience in spirit processing, vatting or similar production environment.
  • Strong understanding of HMRC compliance and stock control processes.
  • Proficiency in relevant data management and production systems.
  • Ability to liaise effectively with suppliers and internal stakeholders.
  • Attention detail and accuracy in record-keeping.
